How to filter and hide ToastMail emails in your inbox

ToastMail automatically hides ‘warming emails’ from being displayed in your inbox by moving them to a folder named "TM Conversations". However, this is not always 100% reliable, and it always takes a moment for us to move the emails. Luckily, there is a foolproof way of ensuring that no ‘warming emails’ are ever shown in your inbox - by setting up a filter. We’ll guide you through it in this article.

Step 1:

Copy your Unique Code You received an email with your unique code and instructions for filtering when your email was added to ToastMail. Copy the code that we included in the email.

Create a filter to hide the ‘warming emails’ Click on ‘Filters and Blocked Addresses’ to be redirected to the appropriate settings page. Or, manually navigate to your Gmail inbox and go to Settings by clicking the wheel icon on the top right corner of your screen, select the ‘See all settings' option and then click on the 'Filters and Blocked Addresses’ tab.

Next, select ‘Create a new filter’ and paste your Unique Code In the 'Has the words' field.

Step 1:

Activate 2-Step Verification in your Google account

Make sure that you are signed in to your Google Account, then click Manage your Google Account. Or, manually navigate there once you have signed in by clicking on the Avatar in the top right corner, and then by clicking on Manage your Google account under your avatar.

Next, locate the search field at the top of your screen and type in ‘2 step’, click on 2-Step Verification then select Get Started. Proceed with the on-screen instructions.

Enable IMAP in your mailbox

Next, click Forwarding and POP/IMAP, which should take you to the correct settings page. Or, manually navigate to your Gmail inbox and go to Settings by clicking the wheel icon on the top right corner of your screen, click See all settings and then click on the Forwarding and POP/IMAP tab.

Scroll down a bit and then select Enable IMAP. Remember to save your changes.

Email Account Disconnected From ToastMail

Here are some of the reasons as to why your account can be disconnected from ToastMail:

Your email provider suspended your account due to spamming.
This is a known issue with Google Workspace given their set of rules that automatically suspend an email account considered at risk of being compromised or spamming.
You’re connected to a custom SMTP/IMAP and there is a temporary error on your server.
Login credentials (e.g. App Password) to your account has changed.
Expired domain name
Unpaid subscription to your email provider
Other reasons related to your email provider

Connecting a Google Workspace account to ToastMail with Less Secure Apps

Important Note: As of this writing, @gmail.com accounts no longer support Less Secure Apps. They are still supported for Google Workspace but will eventually be phased out. This date is yet to be announced. We recommend for you to connect a Google Account to ToastMail via 2-Step Verification. Connecting to Less Secure Apps involves a few steps. Here’s how:

Step 1: Enable less secure apps on your Google Workspace account

Login to your Google Workspace account and go to https://myaccount.google.com/lesssecureapps.
Ensure you are signed in to the right account before turning on Less Secure Apps.
Check your Gmail inbox for a Security Alert email. Select It was me to verify the action was made by you.

Step 2: Enable imap in your mailbox

Open your Gmail inbox and click on the Settings icon at the top right then select See all settings.
Go to Forwarding and POP/IMAP tab. Scroll down a bit and click on Enable IMAP. Make sure to save the changes.

Step 3: Sign in to toastmail

Navigate back to ToastMail and log in to your account.
Follow the steps to add your email address.

Step 1: Send a test email to the sending address

Using a different email address (e.g. your personal email), send a test message to the sending address that is connected to ToastMail for warming.
Check where it is stored. It should land in the inbox that you setup as IMAP. If not, that confirms the problem. Proceed to the next steps

Step 2: Make sure imap is configured correctly

Go to Settings Make sure to enter as IMAP an inbox where ToastMail can locate received emails.

Google Workspace has rules in place to automatically suspend an email account considered at risk of being compromised or spamming. If your account is suspended, worry not as this is a known issue especially if sending cold emails. Rest assured, this does not affect deliverability and reputation score.

Top reasons for user suspension by Google:

Google is receiving a lot of spamming complaints from other users against your email account.

The user sends to many emails on a daily basis
Detection of possible compromise of the said email address

Additional factors that may lead to having your account suspended:

Accessing your Google account from various locations/IPs
Usage of unsecured third party applications to control the user’s account

Below are the steps to reactivate a suspended account.

Go to https://admin.google.com/ to access the Google Workspace Admin Console. Log-in using your administrator credentials.
Navigate to your organization’s user list by clicking on Users from the Admin Console dashboard.
Scroll down through the list of users or use the search bar to locate the suspended user. The status should say Suspended.
Click to open the suspend user’s account details. Select the Reactivate button in the upper right hand of the screen.
A pop-up window will appear to confirm the action. Click on Reactivate to proceed.
The user’s status should be updated from Suspended to Active
